Phyllis provided the financial report:
BB&T Account Balance as of 5 Oct 2009: $396.53
Outgoing Expenditures this month: Contest Material reimbursement: The reimbursement for the contest trophies is 24.30. The check was made out to Tonya M. The Web site cost is $19.30, and the contest reimbursement is $5.00.

Joe looked into exchanging obsolete toastmaster pins for new pins. He was hoping that TI would let us swap out our old membership pins (approx. $7 each), or at least exchange them for store credit, but unfortunately they can’t (per email from TM). Joe suggested that we give the old pins to the veteran members and buy new pins for folks that have been members for less than 12 or 18 months?

Joe discussed having an Open House.
After some discussion with our VP-Ed, it sounds like our club would benefit from an Open House. This would be scheduled on either 01 or 08 December and could also serve as a follow-up event from the Area Open House event currently under consideration (October).
This could be a Winter/Holiday/Christmas-themed event, complete with candy canes, hot chocolate, warm cider and other appropriate decorations/refreshments.
The event format would be much like similar events, with one main (model) speaker, table topics and a Q&A session. I’ll volunteer to coordinate and will come up with a flyer. |

Joe has asked the district folks about how we can capitalize on October being Toastmasters month. Joe has asked the district PRO and the VA Gov’s office for a copy of the official proclamation – no response yet. The official proclamation would be cool to either hang up alongside or incorporate within a marketing flyer. Would make a great marketing/membership campaign! |

Joe has sent out a draft tracking worksheet that will help him status visitor. He will keep an eye on the guest book and will make an announcement or two at upcoming meetings regarding our role in welcoming and following up with visitors. |

Joe presented some other membership notes:
Joe will promote the details regarding the annual membership campaigns from toastmasters.org.
Joe is working an idea on two end of (toastmasters) year awards: 1) member with most number of visitors (small prize) and 2) member that has brought in the most new members (large prize).
Joe would like to post up some new TM flyers in our building – does anyone have any leftover glossy flyers?
